Notifications
Emails to a Form's Recipients for each new Submission.
A Notification is an email sent for each new Submission that isn't Spam. It goes to the Form's Recipients, one email each, so nobody sees the other addresses. A Form with no confirmed Recipients sends nothing, and its Submissions are still in the dashboard.
Recipients
Add Recipients in the Form's Recipients tab. A new address gets a confirmation email and receives nothing until its owner clicks the link in it, which works for 7 days. Members of the Workspace count as confirmed straight away.
A Project can hold default Recipients that each new Form copies when it is created. Changing the defaults later doesn't touch existing Forms.
What's in the email
- The subject
New Submission on <Form name>. - Every field, in the order it was sent.
- Files as links that work for 7 days.
- A link that opens the Submission in the dashboard, where you need to be signed in.
Each email has an HTML part and a plain-text part.
The file links work without signing in, so anyone who gets the email can open them until they expire. Forwarding the email forwards that access.
Reply-To
Reply to a Notification and your answer goes to the person who sent the form.
Reply-To is the first field, in the order the Submission was sent, named
email, e-mail, email_address or _replyto (in any case) whose value is
one valid address. A value holding several addresses, or a field with another
name such as contact, gives no Reply-To.
Link-only Notifications
Switch a Form to link-only in its General tab to keep answers out of email. Its Notifications carry no field values and no file links, only a link to the Submission in the dashboard. Reply-To is still set, because the address isn't part of the email's content.
Spam and failures
Spam never sends a Notification. Marking a Submission as not spam sends it then. Restoring a Submission from the Trash doesn't send one.
The Notification goes out after the endpoint has answered the visitor, so it can arrive a moment later. If the email to one Recipient fails, the others still get theirs. There's no retry, but the Submission is always in the dashboard.
